If you already have an existing open E‑Payment account with Vantage and need to establish an additional account, a new application is still required. However, the process is completed slightly differently than a brand-new account.


Instead of completing the standard new account application, you will send an email to: trina.lasiter@propertyboss.com 


Subject Line: NEW E‑PAYMENT ACCOUNT – EXISTING MERCHANT


In the body of the email, include the following information:

  • Legal Name of the new E‑Payment account company
  • Number of units that will be using the account
  • Average rent amount
  • Voided Check and/or Bank Verification Letter (You may choose to upload your documents through our secure upload link)


Once this information is received, Vantage will review the request and provide a secure link. This link will allow you to update and submit your information securely for processing.

  • A form is not required to add a new E‑Payment account for clients who already have an active Vantage merchant account.


Important: Each E‑Payment account must still be reviewed and verified independently to ensure compliance with banking and underwriting requirements.

What Is Required

1. Business and Owner Information

The following information must be provided during the application:

  • Legal Business Name (must match IRS records exactly)
  • DBA (Doing Business As), if applicable
  • Legal Business Address
  • Tax ID (EIN or SSN)
  • Ownership information for any individual with 25% or more ownership

Purpose: This ensures the account is being created under the correct legal entity and remains compliant with underwriting and banking requirements.


2. Bank Account Verification (Finicity Required)

You will be required to complete:

  • Finicity Bank Verification (required)

Additional documentation:

  • Bank Verification Letter, or
  • Voided Check

Purpose: Bank verification confirms that the account receiving deposits belongs to your business and ensures funds are routed correctly. Even for existing merchants, each new E‑Payment account requires its own verification.


3. Supporting Documentation

The following documentation is required:

  • Government-issued ID for the authorized signer
  • SS‑4 (EIN confirmation letter for the company)

Additional documentation may include:

  • Property Management Agreement (if applicable)

Purpose: These documents confirm the identity of the authorized signer and verify the company’s EIN and legal name. This ensures the individual completing the application has the authority to act on behalf of the business.


4. E‑Payment Application

After submitting your request, you will receive:

  • A secure application link
  • A Finicity verification link


Important: The application must be completed in one sitting. If the session times out, the process may need to be restarted.


Who Should Complete the Application

The application must be completed by:

  • The business owner
  • An authorized signer on the bank account

The following should not complete the application unless they are listed as an owner or signer:

  • Administrative staff
  • Leasing agents
  • Property managers


Reason: The authorized signer is legally approving payment processing for the business. Incorrect submissions may result in delays or rejection.

 

Common Mistakes and Roadblocks

EIN Mismatch

The EIN provided does not match IRS records or the legal business name.

How to avoid: Ensure the EIN and business name match exactly as shown on the SS‑4. Do not use abbreviations or alternate naming formats.


Address Mismatch

The legal business address does not match IRS or bank records.

How to avoid: Ensure the same legal address is used across all documents and the application.


Missing or Incomplete Documentation

Required documentation is not submitted, or forms are incomplete.

How to avoid: Complete all fields and submit all requested documents together using the secure upload link provided.

 

Bank Verification Issues

Finicity is not completed or bank credentials are incorrect.

How to avoid: Complete Finicity in one session using accurate banking credentials. Ensure the bank account matches the legal business entity.


Assuming Prior Approval Covers New Accounts

Because an account already exists, steps may be skipped.

How to avoid: Each new E‑Payment account must complete its own verification and approval process, regardless of existing accounts.


Unauthorized Signer

The application is completed by someone without authority.

How to avoid: Ensure the authorized signer completes the application and is listed on both the bank account and business records.

 

Application Timeout

The application is not completed in one session and expires.

How to avoid: Have all required information and documentation prepared before starting the application.


Tips for a Faster Approval

  • Verify that the business name, EIN, and address match across all documents
  • Complete Finicity immediately after receiving the link
  • Upload all required documentation using the secure upload link
  • Ensure the authorized signer completes the application
  • Respond promptly to follow-up requests


What Happens Next

After submission:

  1. Your request is reviewed
  2. A secure application link is provided
  3. Your application is submitted to underwriting
  4. Additional information may be requested if needed
  5. Once approved:
    1. The new E‑Payment account is activated
    2. Confirmation and next steps are provided
