PropertyBoss offers several web portals that allow residents, owners, prospects, applicants, and maintenance technicians to access information connected to your PropertyBoss database. If your portal has already been created, you can identify its web address using two pieces of information from PropertyBoss:
- Account Number
- Database Key, also called the DBKey
This guide explains how to locate this information and use it to find your existing PropertyBoss portal links.
Important: PropertyBoss must create and enable a portal before it can be used. Creating a web address using the templates in this article does not create, activate, or configure a new portal.
Step 1: Locate Your Account Number and DBKey
Depending on your PropertyBoss permissions, you may be able to locate this information using either option below.
Option 1: Registration Numbers
- From within PropertyBoss, navigate to: Setup Preferences > Registration Numbers
- Locate your:
- Account Number
- DBKey
Option 2: About PropertyBoss
You may also be able to locate this information from the About PropertyBoss window.
- Open the appropriate PropertyBoss database.
- Select Help.
- Select About PropertyBoss.
- Locate the Account Number and Domain DB Key.
Important: If your company has more than one PropertyBoss database, make sure you are logged into the database for which you need the portal link. Each database may have a different Account Number. Each database will have different DBKey.
Step 2: Combine Your Account Number and DBKey
Combine your Account Number and DBKey with an underscore. Use this format:
ACCOUNTNUMBER_DBKEY
Example
If your registration information shows:
- Account Number:
PBI000 - DBKey:
252535
Your combined portal identifier is: PBI000_252535
You will use this identifier to replace ACCOUNT_DBKEY in the appropriate portal link below.
Step 3: Choose Your Portal Link
Find the portal you need and replace ACCOUNT_DBKEY with the identifier you created in Step 2.
Tenant/Resident and Prospect Portal
The Tenant/Resident Portal provides tenants with access to the portal features configured for your company. The Prospect Portal uses the same link.
- Template:
https://res_ACCOUNT_DBKEY.propertyboss.net - Example:
https://res_PBI000_252535.propertyboss.net
Owner Portal
The Owner Portal is designed for property management companies that manage properties on behalf of third-party property owners. It is not intended for homeowners who are residents. Homeowners should use the Resident Portal to access their account information.
- Template:
https://own_ACCOUNT_DBKEY.propertyboss.net - Example:
https://own_PBI000_252535.propertyboss.net
MaintTech Portal
The MaintTech Portal is used by authorized maintenance technicians and vendors.
- Template:
https://mtt_ACCOUNT_DBKEY.propertyboss.net - Example:
https://mtt_PBI000_252535.propertyboss.net
Payment Portal
The Payment Portal may also be referred to as the Direct Payment Portal.
- Template:
https://pay_ACCOUNT_DBKEY.propertyboss.net - Example:
https://pay_PBI000_252535.propertyboss.net
Important: The Payment Portal is not a replacement for the Tenant Portal. Tenants should normally use the Tenant Portal for payments and other tenant account activity.
Listings Portal
The Listings Portal is used to display properties and units your company has published as available listings.
- Template:
https://list_ACCOUNT_DBKEY.propertyboss.net - Example:
https://list_PBI000_252535.propertyboss.net
Residential Application Portal
The Residential Application Portal is used for residential rental applications.
- Template:
https://app_ACCOUNT_DBKEY.propertyboss.net/?form=Rapp - Example:
https://app_PBI000_252535.propertyboss.net/?form=Rapp
Guarantor Application Portal
The Guarantor Application Portal is used when a guarantor or co-signer needs to complete a separate application.
- Template:
https://app_ACCOUNT_DBKEY.propertyboss.net/?form=Gapp - Example:
https://app_PBI000_252535.propertyboss.net/?form=Gapp
Step 4: Test Your Portal Link
Once you have created the link:
- Copy the completed link.
- Paste it into your web browser.
- Confirm that the expected portal opens.
If the correct portal opens, you can save the link or provide it to the appropriate users.
Important: A correctly formatted link does not mean that a portal is active. If the expected portal does not open, PropertyBoss may need to confirm whether the portal has been created and enabled for your database.
Companies with Multiple PropertyBoss Databases
If your company uses more than one PropertyBoss database, each database will have its own DBKey and portal links. For example:
Database One
- Account Number:
PBI000 - DBKey:
252535 - Portal identifier:
PBI000_252535 - Resident Portal:
https://res_PBI000_252535.propertyboss.net
Database Two
- Account Number:
PBI000 - DBKey:
252542 - Portal identifier:
PBI000_252542 - Resident Portal:
https://res_PBI000_252542.propertyboss.net
Always confirm that you are logged into the correct PropertyBoss database before locating the DBKey.
Troubleshooting Your Portal Link
The Portal Does Not Open
Confirm that:
- The Account Number was entered exactly as it appears in PropertyBoss.
- You used the DBKey for the correct PropertyBoss database.
- The Account Number and DBKey are separated by an underscore.
- There are no spaces in the completed link.
- You used the correct portal template.
- You replaced the entire
ACCOUNT_DBKEYplaceholder.
For example:
- Correct:
PBI000_252535 - Incorrect:
PBI000252535
The Wrong Company or Database Appears
If your company has multiple databases, confirm that you obtained the DBKey from the correct database. Return to PropertyBoss, open the appropriate database, and verify the DBKey before recreating the portal link.
The Link Is Correct but the Portal Is Unavailable
A correctly formatted link does not create or activate a portal. If you have confirmed your Account Number, DBKey, and portal template but the expected portal is unavailable, contact PropertyBoss so we can confirm whether the portal has been created and enabled for your database.
When to Contact PropertyBoss
Contact PropertyBoss if:
- You cannot locate your Account Number or DBKey.
- You do not have access to Registration Numbers or About PropertyBoss.
- You are unsure which DBKey belongs to the correct database.
- The completed link does not open the expected portal.
- The wrong company or database appears.
- You need a new portal created.
- You need an existing portal enabled or configured.
- Your company's Account Number or DBKey has changed.
PropertyBoss must complete portal setup and activation. Once your portal is active, you can use the steps in this guide whenever you need to locate or recreate the link.
