If emails are not being sent from PropertyBoss, review the following troubleshooting steps before contacting support.
Verify Email Credentials
- Confirm the email username is entered correctly.
- Re-enter the password to ensure there are no typing errors.
- If the email account password was recently changed, update the password in PropertyBoss.
- Verify the account is not locked or disabled by your email provider.
Confirm SMTP Settings
Verify that the SMTP server, port number, security type, and authentication method exactly match the requirements of the email service being used.

Verify User Permissions
- Confirm the user account has Can Send Email enabled.

Send a Test Email to Yourself
After saving your settings, the simplest test is to send an email to your own email address.
- Create a test email.
- Send it to your own email address.
- Verify the message arrives successfully.
- Check your Junk or Spam folder if the email is not received.
Enable BCC to Sender
Checking the "BCC to Sender" option can help verify that messages are leaving PropertyBoss successfully.
- Enable the BCC to Sender checkbox.
- Send a test email to another recipient.
- Confirm that you receive the BCC copy.
If the recipient does not receive the message but you receive the BCC copy, the issue may be related to the recipient's email system rather than PropertyBoss.
Check Internet and Firewall Restrictions
- Confirm you have an active internet connection.
- Some corporate networks, antivirus programs, or firewalls may block SMTP traffic.
- If your organization uses strict network security policies, contact your IT department to verify outbound email traffic is allowed.
Verify the Email Account Outside of PropertyBoss
Test the email account directly through its normal application or web portal. For example:
- Outlook users should verify they can send email from Outlook.
- Gmail users should verify they can send email from Gmail's web interface.
If the account cannot send email outside of PropertyBoss, the issue must be resolved with the email provider before PropertyBoss can successfully send messages.
Common Testing Mistakes

- Selecting the wrong security type (SSL/TLS vs. STARTTLS)
- Sending a bulk email before confirming the setup works

Third-Party Email Servers
If you are using a personal or company email server instead of the PropertyBoss email server:
- Verify SMTP settings with your email provider.
- Verify any special authentication requirements.
- Verify any application-specific passwords required by the provider.
- Contact your email provider or IT department for assistance.
PropertyBoss Client Care does not support the configuration or troubleshooting of third-party email servers, including Microsoft 365, Outlook, Gmail, Yahoo, Comcast, or other email providers.
