Overview

PropertyBoss can send emails directly from the software. PropertyBoss fully supports the standard PropertyBoss email configuration. While some personal or company email servers may also work, those configurations are not supported by PropertyBoss Client Care. 


Before You Begin

Ensure that:

  • Your user has administrative permissions to Maintain Security Settings
  • The Can Send Notifications option is enabled for your user.
  • You have access to the email password.


Email settings are located on the User Info tab when setting security access and permissions. 

  1. Go to Setup Preferences.
  2. Select Security Settings.
  3. Click Create Users and Assign Security/Permissions.
  4. Highlight the user account.


For hosted PropertyBoss clients, use the following settings:

Configuring Email Settings

  1. Navigate to Setup Preferences > Security Settings > Create Users & Assign Security/Permissions.
  2. Select the user account that will send emails.
  3. Go to the Notifications Settings section on the User tab and check the Can Send Notifications box.
  4. Enter the PropertyBoss email settings listed above.
  5. Click OK to save the changes.
  6. Have the user send a test email to verify that the configuration is working.


Send a Test Email

The easiest way to send a test email from PropertyBoss is to

  1. Go to File > Send E-Mail. 
  2. Enter your email address in the To: field.
  3. Change the Subject and Body of the email, if desired.
  4. Click OK to send the email.
  5. Verify the message arrives successfully.
  6. Check your Junk or Spam folder if the email is not received.


BCC Yourself on Sent Emails

PropertyBoss includes an option to automatically send a copy of outgoing emails to the inbox configured in the settings. To enable this feature:

  1. Locate the BCC to Sender checkbox within the notifications settings window.
  2. Check the box to receive a copy of each email you send from PropertyBoss.
  3. Click OK to save the changes before exiting. 

This can be useful for maintaining a personal record of communications sent from PropertyBoss.


Tip: To reduce inbox clutter, create an email rule that automatically routes these messages to a separate folder.


Using Your Own Email Server

Some users may choose to configure PropertyBoss to send email through their own email provider such as Microsoft 365, Outlook, Gmail, Yahoo, Comcast, or another SMTP service. Various configurations may work with PropertyBoss.


Important Support Notice

PropertyBoss Client Care does not support third-party or personal email server configurations. If you choose to use your own email server:

  • You are responsible for obtaining the correct SMTP settings from your email provider.
  • You are responsible for maintaining passwords, authentication methods, and security settings.
  • Client Care cannot troubleshoot issues related to individual email providers, authentication requirements, security policies, spam filtering, or rejected messages.
  • Note: Most modern email providers now require Multi Factor Authentication (MFA) when using their SMTP server settings. PropertyBoss does not currently support MFA for email server authentication. As a result, configuring third party or personal email accounts with PropertyBoss is generally not supported and may not function reliably. Even if a configuration works initially, we cannot guarantee continued compatibility, as email providers may change their security requirements at any time.


For the most reliable and fully supported experience, PropertyBoss recommends using the standard PropertyBoss email configuration outlined above.
