Overview

Marketing Fee Schedules allow leasing costs to be displayed transparently on the Listings Portal before a prospect submits an application. When used together with Market Rent, Marketing Fee Schedules provide prospective tenants with a complete breakdown of recurring and one-time fees, helping reduce pricing questions and improve fee transparency.

Benefits

Best Practice: Define Market Rent and assign a complete Marketing Fee Schedule to every advertised property for the most comprehensive fee display on the Listings Portal. 


Creating a Marketing Fee Schedule


Step 1: Navigate to Marketing Fee Schedules

Navigate to: Setup Preferences → Pre-Defined Values → Marketing Fee Schedule 


This area displays existing fee schedules and the transactions assigned to each schedule. 


Step 2: Create a New Schedule

  1. Create a new Marketing Fee Schedule record.
  2. Enter a descriptive Schedule Name.
  3. Save the schedule. 


Naming Recommendations

Use a consistent naming convention such as:

  • Property Name – Unit Type – Fee Set
  • Property Name – Standard Fees
  • Property Name – Multifamily Fees

Avoid generic names such as "Standard" when multiple schedules exist.

Adding Transactions to a Schedule

Only transactions configured as Lease/Prospect Transactions are available for Marketing Fee Schedules.  To add fees:

  1. Select the applicable transaction.
  2. Review the refundable status.
  3. Update the fee description if necessary.
  4. Save the transaction. 

Notes

  • Deposit transactions may automatically be marked refundable.
  • Fee descriptions can be customized for portal display without changing the underlying transaction setup. 


Configuring Fee Classifications

Each fee should be fully classified so the Listings Portal can correctly display and calculate pricing.

How Pricing Calculations Work


Included in Total Monthly Price

Required + Recurring + Fixed fees are added to Market Rent and displayed as the Total Monthly Price.


Not Included in Total Monthly Price

  • Variable fees
  • One-Time fees
  • Elective fees

These charges remain visible for disclosure purposes but are excluded from the monthly total calculation. 


Assigning a Marketing Fee Schedule

Creating a schedule does not automatically attach it to a property.


Assign a Schedule

  1. Navigate to Units and Leases.
  2. Select the property.
  3. Open Edit this Property.
  4. Locate the Marketing Fee Schedule dropdown on the first page of the Property Notebook.
  5. Select the desired schedule.
  6. Save the property record.


Managing Existing Schedules

To update a schedule:

  1. Navigate back to: Setup Preferences → Pre-Defined Values → Marketing Fee Schedule
  2. Modify fees or descriptions as needed.
  3. Save changes.
  4. Validate the Listings Portal display after making updates. 


Configuring Market Rent

Marketing Fee Schedules require Market Rent to fully display pricing information.

Total Monthly Price Formula

    Total Monthly Price = Market Rent + Required Recurring Fixed Fees


Additional Notes:

  • Variable fees are disclosed but excluded from calculations.
  • One-time fees are displayed separately.
  • If Market Rent is blank or $0.00, the portal displays "Contact for Price"

There are four possible display outcomes based on the combination of Market Rent and Marketing Fee Schedules.

Validation Checklist

Before publishing or updating a listing, confirm the following:

  • Schedule name is descriptive.
  • All leasing costs are represented by Lease/Prospect transactions.
  • Fee classifications are accurate.
  • Refundable status is correct.
  • Fee descriptions are clear and tenant-friendly.
  • Schedule is assigned to the correct property.
  • Market Rent is configured.
  • Listings page displays the expected pricing format.
  • Details page displays expected fee groupings.
  • Monthly totals match expected calculations.
