Overview
The PB Reports Folder (shown as 'pb_reports' on your computer) is automatically created when the PropertyBoss RDP Client is installed. This folder serves as a local storage location for reports generated through PropertyBoss, allowing users to access recently created reports and documents from their local computer.
The PB Reports Folder functions as a temporary repository for reports that are printed, processed, or saved from PropertyBoss, making it easier to retrieve documents when needed.
Folder Location
The PB Reports Folder is created automatically during installation and is typically located on your local computer's C: drive.
Default Location: C:\pb_reports
What Is Stored in the PB Reports Folder?
The PB Reports Folder may contain local copies of many PropertyBoss-generated documents, including:
- Viewing Reports
- General Ledger Reports
- Receipts
- Merlin Reports
- Saved PDF Documents
- Print Processing Files
These files allow users to retrieve recently generated reports if they were not saved elsewhere at the time they were created.
Understanding File Types
The PB Reports Folder contains several different file types used during the report generation and printing process.

Viewing a .PRD Report File
Many reports stored in the PB Reports Folder use the .prd file extension. These files can be viewed as PDF documents by following these instructions.
To Open a .PRD File
- Locate the report within the PB Reports Folder.
- Right-click the file and select Rename.
- Change the file extension from: .prd to .pdf
- Open the file using your preferred PDF reader.
Example
- Before: TenantLedger.prd
- After: TenantLedger.pdf
- Note: If file extensions are not visible, enable File Name Extensions from the Windows File Explorer View menu.
Understanding the Saved Folder
Within the PB Reports Folder is a subfolder named: saved
This folder stores PDF copies of reports when the Save as PDF on Local Machine option is selected from PropertyBoss.
- Unlike temporary print-processing files, documents in the saved folder remain available for later access.
- Users should move any documents they wish to retain permanently to another location on their computer or network.
Report Retention
Temporary Report Files
To reduce unnecessary disk usage, temporary report-processing files are automatically removed after a defined period.

If a report must be retained long-term, save or move it to another location before the retention period expires.
Saved PDF Files
PDF files stored in the saved subfolder are not subject to the five-day cleanup rule. However, users are encouraged to relocate important documents to a permanent storage location.
How Printing Works
Printing to Your Local Default Printer
When Your Local Default Printer is selected and the green C printer is set to a physical printer:
- PropertyBoss creates an .ini file containing print settings.
- A .pdf copy of the document is generated.
- The .ini file is updated with a .prd extension when the settings are passed to the printer.
- The PDF file is updated with a .prd extension when the document is sent for printing.
- The document prints to the selected printer.
Printing to Microsoft Print to PDF
When Your Local Default Printer is selected and the green C printer is set to Microsoft Print to PDF:
- PropertyBoss creates an .ini file containing print settings.
- A PDF copy of the document is generated.
- The .ini file is updated with a .prd extension as the print request is processed by Windows.
- The PDF file is updated with a .prd extension as the document is processed by Windows.
- A Save As dialog appears.
- The user selects a file name and save location.
- The PDF is saved to the selected location.
Save as PDF on Local Machine
When Save as PDF on Local Machine is selected:
- PropertyBoss creates an .ini file containing print settings.
- A PDF copy of the document is generated.
- The print settings file is converted to a .prd file.
- The PDF document is automatically moved into the saved subfolder.
- The document remains available for future access.
Troubleshooting
I Cannot Find a Recently Printed Report
If a report cannot be located:
- Verify the report was successfully generated in PropertyBoss.
- Confirm the report was created within the last five days.
- Check the 'pb_reports' on the local C: drive.
- Review the 'saved' subfolder if the report was saved as a PDF.
- Search Windows Explorer for the report name or file extension.
I Cannot Open a .PRD File
If a .prd file will not open:
- Move the file to a folder outside of pb_reports.
- Remove the .prd extension from the filename.
- Verify the file now ends with .pdf.
- Open the file using your preferred PDF viewer.
- If necessary, right-click the file and select Open With to choose a PDF application.
Important Notes
- There is currently no known limit to the number or size of documents that can be stored in the PB Reports Folder.
- For best performance, users should periodically move important reports to a permanent storage location.
- Temporary processing files and saved reports may coexist in the folder.
- Files located in the PB Reports Folder should not be considered a permanent archive.
