If you plan to cancel your PropertyBoss subscription, please follow the steps below carefully. Your subscription will remain active and billable until all required steps have been completed.

 

Step 1: Submit a Written 30-Day Notice

  • You must provide written 30-day notice of your intent to cancel.
  • Your notice should include:
    1. Your company name
    2. Contact name for communications regarding cancellation 
    3. Requested cancellation date

This step begins the cancellation process, but it does not complete it.

 


Step 2: Complete the Required Change in Service Form

  • After submitting your notice, you will receive a Change in Service form from Accounting or your Account Manager.
  • You must review, sign, and return this form.

Important:

  • Your subscription is not canceled until the completed form is received and processed.
  • An email notification alone is not sufficient to cancel your account.

 

Step 3: Choose Your Post-Cancellation Access

As part of the cancellation form, you will select one of the following options:


Historical Access

  1. Read-only access to your PropertyBoss data after cancellation. Your data remains hosted with PropertyBoss, providing easy reference to historical information.
  2. One Archive User is provided for login access. Additional users can be purchased for a fee.
  3. When choosing to retain Historical Access to PropertyBoss, you will receive a PO to add the service to your account. The PO must be signed and returned before Historical Access is enabled. 
    • Failure to pay the Historical Access fee will result in immediate login suspension. 
    • Failure to pay the Historical Access fee for 60 days will result in immediate Historical Access termination. Your database is retained for 30 days after termination. After 30 days, your data cannot be recovered.


Cancel All Services

  1. Access to PropertyBoss will be removed.
  2. Your account and all related services, including payments, portals, screening, insurance, website hosting, and similar services, will be deactivated.
    • Your database is retained for 30 days after access ends. After 30 days, your data cannot be recovered.
  3. If you choose this option, we recommend completing the following before your cancellation date:
    • Export or download any reports or data you may need.
    • Ensure financial records are finalized.
    • Notify your team of the transition.

 

Billing and Refund Expectations

Please note the following:

  • Subscription fees that have already been billed or incurred are non-refundable.
  • If no prior Change in Service request is on file, billing will continue until proper notice is received.
  • Any applicable final invoices will still be due.

 

What to Expect Next

  • Your cancellation will be finalized after all required documentation has been received.
  • Billing will continue until the cancellation has been fully processed. If more than 10 business days pass between the initial 30-day written notice and submission of the Change in Service form, the date the Change in Service form is submitted will be used as the effective cancellation notice date.
  • You will receive confirmation that your Change in Service Request has been received and processed. 
  • Canceling your PropertyBoss subscription also cancels third-party services, such as screening, payments, website hosting through BizCor (when billed through PropertyBoss), insurance, and similar services. You are responsible for any final invoices issued by those providers.
