Work Order Overview 

Work Orders can be:

  • Maintenance tasks — “Clean the carpets.”
  • Reminder tasks — “Check if interested in renewing.”
  • Process tasks — eviction workflow, lease renewal workflow
  • Recurring maintenance — “Quarterly Pest Control”
     
     

Work Orders appear under:

  • Property Work Orders Tab
  • Unit Work Orders Tab
  • Both display open, working, completed, and historical maintenance activity.
     

Work Orders at the Property Level 

The Property Work Orders Tab shows all work orders associated with the property (including unit‑level WOs).
  

Default View

  • Shows Open and Working orders only
  • Uncheck Show Open Work Orders Only to display the full history

Sorting

  • Click any column header to sort (ascending/descending)
      

Work Orders at the Unit Level 

The Unit Work Orders Tab displays all maintenance related to that specific unit.
  

Tabs display:

  • Maintenance
  • Reminders
  • Process tasks
  • Recurring maintenance patterns
      

Sorting and filtering behavior is identical to the Property‑level Work Orders tab.
  

Work Order Columns 

Both Property and Unit Work Order tabs display the same column set:

  • Date / Time
  • Work Order #
  • Description
  • Status
  • Account (property/unit/lease)
  • Requested By
  • Assigned To
  • Checklist Name
  • Group Name
      

Work Order Toolbar Functions 

Start a New Checklist

Creates work orders defined as part of a predefined Maintenance Checklist.
  

Filter Groups

Displays only the Work Orders belonging to a specific group.

  • Click Clear Filter to return to all work orders.
      

Repeated (Recurring) Work Orders

Shows recurring activities such as:

  • AC Filter Replacement
  • Pest Control
  • Safety Inspections

Displays:

  • Last Execution
  • Next Execution
  • Assigned Vendor
  • Work Order Type
      

New WO

Creates a new work order.
 

Change WO

Edits or deletes the selected work order.
(You may also double‑click the WO to open it.)
  

Prints the currently selected work order.
  

Recurring Work Orders 

The Repeated Work Orders window lists all recurring tasks for that property or unit. Recurring work orders include:

  • AC filter inspections
  • Pest control schedules
  • Safety inspections
     

Users with System Setup permissions may:

  • Create
  • Edit
  • Delete recurring work order profiles.
     

Checklists 

Checklists are multi‑step work order templates tied to:

  • Make Ready processes
  • Renewal processes
  • Turnover workflows
  • They can be launched using Start a New Checklist.
     

Work Order Reports 

Maintenance & Work Order reports include:

  • A120 Work Order Status
  • A125 Work Order Completion
  • A126 Work Order Performance

These reports support:

  • Status tracking
  • Completion verification
  • Performance and SLA evaluations


Work Orders & Assets 

When viewing Asset History, users may include work order history:

  • Include Work Order History (checkbox)

This merges all maintenance events tied to the asset and its location history.

 

Asset history shows:

  • Date/time entries
  • User
  • Log lease start date
  • Reason name
  • Asset type / ID / description
  • Work orders
  • Repair costs
  • Storage location
  • Estimated return date
      

Permissions for Work Orders 

Work Order permissions are controlled in: Setup Preferences → Security Settings


Users may be granted:

  • Add Work Order
  • Define Checklist

These permissions determine whether staff may:

  • Create WOs
  • Manage recurring WOs
  • Edit or delete existing WOs
  • Launch checklists
      

Additional Notable Behaviors 

  • Work Order lists default to showing Open and Working WOs.
  • Filters allow viewing only specific Work Order Groups.
  • Recurring WOs automatically generate new WOs based on schedule.
  • WOs may be linked to a property, unit, or lease.
