Translating Fields, Tabs, Buttons & Windows 

The system allows PMs to maintain custom table structures using Define Detail Fields and Customize Layout. These allow you to:

  • add new fields,
  • rename fields,
  • reorder fields,
  • delete fields,
  • create up to 10 custom Detail Tabs.


Customize Layout lets PMs create:

  • custom tabs,
  • custom field groups,
  • internal naming conventions,
  • field ordering.

Field names and tab names can be modified using Setup Preferences → Predefined Values → Define Detail Fields.


Replacement Parameters 

Parameter‑driven field definitions used by system calculations. These define the meaning of fields and must be preserved for the system to work.


System‑required fields:

  • Number of Bedrooms
  • Number of Bathrooms
  • Square Feet

These MUST be defined in Unit Detail Fields using the correct field type.


Reason: These fields drive:

  • Prospect Web Portal search filters
  • Inspection template auto‑room creation

Changing these replacement parameters breaks:

  • portal search,
  • inspections,
  • reporting.


Custom Detail Fields 

Custom detail fields allow storage of:

  • room sizes,
  • pet information,
  • average utility bills,
  • max occupancy,
  • insurance details,
  • internal notes.

Fields can be:

  • added,
  • renamed,
  • reordered,
  • deleted (warning: deletes all data in ALL units/properties using that field).

Creation location:

  1. Setup Preferences → Predefined Values → Define Detail Fields – Unit
  2. Setup Preferences → Predefined Values → Define Detail Fields – Property

You may create up to 10 custom tabs per notebook.


Maintaining Consistent Field Definitions 

Your PDF explicitly states that:

  • Default fields like Nbr of Bedrooms, Bathrooms, Square Feet MUST NOT be changed.
  • These must use the correct PropertyBoss‑defined field type.

Changing these fields causes:

  • portal search errors,
  • inspection template issues,
  • reporting inconsistencies.


System Preferences (Global & Processing Options) 

System settings control the global behavior of:

  • overlapping lease dates,
  • subsidies,
  • amendments,
  • month-to-month conversion,
  • 30‑day months,
  • rounding/proration,
  • property‑level late fee control,
  • GMP/LTL/LTV tracking.

Processing Options determine:

  • where late fees are controlled (property vs unit),
  • proration behavior,
  • fiscal year settings for non‑monthly lease billing.

 

User Interface Customization 

Customization features include:

  • Customize Layout (adding/removing/moving fields),
  • custom tabs for Property, Unit, and Lease,
  • user-defined detail fields for operational needs.

The system supports internal consistency by allowing:

  • custom field grouping,
  • custom headings,
  • custom tab labeling.


Additional Notes 

Deleting detail fields: Deleting a custom field here deletes the data for ALL properties that used that field.


Customizations appear in:

  • Property Notebook
  • Unit Notebook
  • Lease Notebook
  • Reports
  • Portals

These customizations maintain consistency across all team members using PropertyLists, Navigator sorting, and reporting filters.
