MaintTech Portal (Field Work & Inspections) Role: Maintenance Technician

Primary System: MaintTech Portal (mobile or desktop)

Purpose: Receive work, complete repairs, document work, and close work orders accurately


Purpose of This Guide

This guide explains how Maintenance Technicians perform all daily maintenance work and inspections directly in the MaintTech Portal. You do not need to log in to PropertyBoss or any other system.

MaintTech Portal is your daily task list, communication tool, and documentation system.



Your Role as a Maintenance Technician

You are responsible for:

  • Completing assigned work orders
  • Performing inspections and make‑ready tasks
  • Documenting all work clearly
  • Uploading photos when required
  • Communicating issues or delays through the portal


Technician Rule

If the work is not entered in MaintTech Portal, it did not happen.


1. Logging In & Getting Set Up

Log in to MaintTech Portal

  1. Open your company’s MaintTech Portal URL
  2. Enter your username and password
  3. Confirm your assigned work orders are visible


Best Practices

  • Bookmark the portal on your phone
  • Stay logged in during your shift
  • Refresh the portal if assignments change


2. Starting Your Day

Review Your Assigned Work Orders

  1. Open My Work Orders
    1. Review:
      1. Priority
      2. Due dates
      3. Unit access notes
      4. Safety flags
  2. Plan Your Route
    1. Group work by building or area
    2. Handle emergencies first
    3. Identify work needing parts or vendor assistance
  3. Get Clarification, if needed
    1. If something is unclear, contact your supervisor before starting.


3. Understanding Work Order Priorities

Priority Levels

  • Emergency – Water leaks, no heat/air, safety issues
  • High – Appliances, plumbing, HVAC issues
  • Normal – Standard repairs
  • Low – Cosmetic or non‑urgent items Always complete higher‑priority work first.


4. Performing Work in the Unit

1️⃣Before Starting Any Work

Inside the work order:

  • Read the full description
  • Review access instructions
  • Confirm pets or safety notes

2️⃣ During the Repair

As you work:

  • Diagnose the issue
  • Perform the repair
  • If additional parts or approval are needed:
    • Add notes in the work order
    • Notify your supervisor through the portal


5. Documenting Your Work (Required)

1️⃣Work Notes

Before closing a work order, add:

  1. What was wrong
  2. What you did to fix it
  3. Any parts used
  4. Any follow‑up needed

Write clearly so anyone can understand what was done.

 

2️⃣Photos

Upload photos when required:

  • Before repair (if damage)
  • After repair (finished work)
  • Inspections or move‑out damages
    • Photos protect you and the company.


6. Completing & Closing Work Orders

When the work is finished:

  1. Enter detailed notes
  2. Upload required photos
  3. Change status to Complete or Closed


Do not close a work order if:

  • Work is unfinished
  • Parts are still needed
  • Notes or photos are missing


7. Inspections & Make‑Ready Tasks


Inspections

For inspections completed in MaintTech Portal:

  • Follow the checklist in the work order
  • Document any issues found
  • Upload photos of damages or concerns

Make‑Ready Work

Make‑ready tasks may include:

  • Cleaning
  • Painting
  • Repairs
  • Safety checks

Each task must be documented before the unit is marked ready.



8. Communication Standards


Resident‑Facing Notes

  • Be professional
  • Be brief
  • Do not include internal comments


Internal Notes

  • Be detailed
  • Include diagnostics and reasoning
  • Note delays or access issues If you cannot access a unit:
    • Do not close the work order
    • Add a note explaining the issue


9. Working with Vendors

If a vendor is assigned:

  • Record arrival, work performed, or no‑show
  • Upload invoices or photos if applicable
  • Notify your supervisor of issues


10. What Maintenance Technicians Do NOT Do

  • Delete work orders
  • Close incomplete work
  • Guess or assume
  • Skip documentation
  • Work without a work order (unless directed)

If something needs to be done, there must be a work order.


11. Safety & Professionalism

Always:

  • Follow safety procedures
  • Use PPE when required
  • Secure units when leaving
  • Respect resident property
  • Report unsafe conditions immediately



End‑of‑Day Checklist

Before ending your shift:

  • All completed work orders closed
  • Notes and photos uploaded
  • Follow‑ups documented
  • Supervisor notified of unresolved issues


Ask yourself:

If someone opened MaintTech Portal tomorrow, would they know exactly what I worked on today?
