Facilities Management

PropertyBoss provides several features to enhance your facilities management: 

  • Online inspections, both for tenants and staff. 
  • Check lists of tasks that are conducted repeatedly, such as Make Ready, Eviction, Move In, and Move Out. 
  • Repeated Work orders that populate on a schedule so you don't have to remember to enter them each week, month, quarter, etc. 
  • A little-known fact - you can even set up a work order group to manage accounts you send to collections.


Work Order Features Overview


1. Work Order Navigator

  • Central hub to view, create, and manage work orders.
  • Supports filtering, sorting, and custom views via Merlin (customized) Reports.
  • Color-coded flags indicate urgency: green (today), yellow (up to 3 days late), red (over 3 days late).
  • Allows email, Excel export, and printing of work orders.

2. Checklists & Repeating Work Orders

  • Checklists group related tasks (e.g., Move-In, Move-Out, Make Ready) for streamlined execution.
  • Repeating Work Orders automate recurring tasks like HVAC filter changes or pest control.
  • Each checklist step includes scheduling, assignment, and task description options.


3. Make Ready Checklist

  • Automates unit turnover tasks post-move-out (e.g., cleaning, painting, inspections).
  • Tasks are scheduled based on a start date and tracked until completion.
  • Unit status updates automatically from “Not Ready” to “Ready” upon completion. 


4. Billable Repairs

  • Supports billing tenants for damages identified during inspections.
  • Bills can be created per item or in bulk and tracked through the inspection notebook.
  • Common area damages in student housing can be split among tenants.


5. Printing & Emailing Work Orders

  • Print options include vendor, tenant, owner, or internal copies with customizable headers.
  • Completion signoff sections and media (e.g., maps) can be included.
  • Email functionality supports sending PDFs to selected recipients with logging and preview options


6. Work Order Groups

  • Customizable groups with unique prefixes, security settings, and portal visibility (Resident, Member, Owner).
  • Groups can include standard short descriptions, required fields, and completion comments.
  • Supports detailed field customization and layout editing.


7. Collections Work Orders

  • Automatically generated for NSF or declined payments.
  • Includes transaction details and is visible to tenants and owners via the web portal.
  • Only one open collections work order per account at a time.



Summer Heat & Electronics 

We’re not the only ones who overheat in the summer. Your phone, laptop, and tablet need a little care too. Here’s how to protect your electronics:


Avoid Direct Sunlight

Don’t leave devices in hot cars or on outdoor tables. Direct sunlight can quickly overheat internal components.


Give Them Shade

Use a case with heat protection or place devices under a cover when outdoors. Keep electronics in the shade or indoors, and avoid using them on hot surfaces like pavement or sand. 


Use a Cooling Pad

Especially for laptops, cooling pads help prevent overheating.


Watch Charging Habits

Charging generates heat. Avoid charging in high temps, and unplug once charged. Don't charge if you phone already feels hot. If it feels warm, unplug and let it cool down first.


Don’t Block Vents

Laptops need airflow — avoid using them on soft surfaces like blankets or pillows that block vents.


Know the Warning Signs

If your device feels unusually hot, slows down, or shuts off, it’s overheating. Power down and let it rest in a cool, shaded place. If you're using a case, take the case off to help it cool down.
