PropertyBoss offers the ability to store Client copies of various media files, including photos, documents, invoices, and letters, making it easy to reference important files quickly. However, it is essential for all clients to continue to maintain their own backups of any media saved to PropertyBoss, as the system does not function as a long-term cloud storage solution. PropertyBoss does not own your content—you retain full ownership of all media uploaded.
To ensure system efficiency and support all client data, PropertyBoss may periodically purge data from its servers. One of the most frequent auto-purge processes affects the "Inbox" folder linked to the green “C” upload tool. This folder is only a temporary holding area for newly uploaded files and is not intended for long-term storage. Files left in the Inbox folder are regularly deleted, regardless of age. To avoid losing important documents, be sure to save all uploaded files within PropertyBoss as soon as they are uploaded—delays may require you to re-upload your files.
Retrieving Your Media
If you terminate your service agreement with PropertyBoss, you have several options for retrieving your stored media:
- Download files individually within PropertyBoss. (available to all clients)
- Purchase historical access for continued "read-only" access to PropertyBoss. All media files remain available. (available to all clients)
- Set up an SFTP transfer to migrate media files from the PropertyBoss server to your server. (available to clients providing advanced notification of service termination)
- All media transfers are provided as-is without modifications. For example, we cannot transfer e-Sign documents only, You will receive the lease folder that contains the e-Sign document(s) as well as any other media files saved for that lease.
