Getting Started

  • Administrator Privileges are required to Add, Edit or Delete users in PropertyHost.
  • The PropertyBoss Host Client must be downloaded on the Windows computer from where the user will launch PropertyBoss. See PropertyHost: Install and Log In
  • Each PropertyHost user must also be created within the PropertyBoss domain using the same user name in the field labeled PropertyBoss Username. The PropertyHost user will not have access to the database until this is done.



Step 1: Adding Users in PropertyHost

  1. Launch PropertyHost and Login
  2. Select Users on the icon bar at the top of the home page. A list of defined users will be displayed.
  3. Click Add on the bottom toolbar to open the "User Information" section
  4. Enter the appropriate information for the First and Last Names and the email address.
    1. The email address needs to be unique to the user. Shared email addresses (i.e., leasing@property.com; asstmanager@property.com, info@property.com) should not be used. 
    2. The "Friendly Name" will autopopulate, but it can be changed.
    3. If this user will also be an Administrator, check that box also.
  5. The "Login Information" fields will also autopopulate. The 3 digit abbreviation for your company name will be prepended to the Windows Username and is required.
  6. The Application field cannot be changed.
  7. Click Assign Database to display the list of databases (also called domains)
  8. Assign access for the user to the database(s) as required
  9. Assign the user's default database if they have access to multiple databases
  10. Click the "X" in the upper right corner to close the database window
  11. Click Save to complete the new user definition and return to the defined user list
  12. Select the newly defined user then click Edit
  13. Click Welcome Email to send the user their login information.





Step 2: Adding Users in PropertyBoss 

All PropertyHost users must also be setup in the PropertyBoss domain(s) that they need access to. The security permissions for each user must be defined.

  1. Use the Connect button to launch PropertyBoss
  2. Select Setup Preferences > Security Settings > Create Users & Assign Security
  3. Add each user using the username that was created when the user was added to PropertyHost. The username is usually the first initial and last name (i.e. jsmith).
  4. Click each tab on the right and select the appropriate areas that the user should have access to.



User Welcome Email for PropertyHost 


The user will receive an email with a link to Assign a Password. Using this link, they need to create their password and enter it a second time to confirm and then Submit. 

  • The email includes instructions on how to access PropertyHost the first time. 
  • If the user has forgotten or wants to reset their password, use the Forgot Your Password button on the login window.


Once the user has successfully logged in the first time, they will be asked to choose a VeriSite Image and Title for their user ID.

  • An image gallery is available to choose from.
  • The title can be any word(s) up to 30 characters.
  • The title SHOULD NOT INCLUDE the password.
  • The personalized SiteCheck value ensures the user they are at the valid PropertyHost site.
  • Select a photo, enter a title, then click Save.



User Options in PropertyHost 


If a user is not a designated Administrator in PropertyHost, the following options will be available:


  • My Profile: Displays User and Login information and includes the following options:
    • Email Password: Emails a link for resetting the password
    • Change Site Key: Allows the user to change their VeriSite Image and/or Title 
    • Welcome Email: Click to resend the Welcome email
  • Downloads: Displays the link to download the PropertyHost Remote Desktop Client and provides information about using PropertyHost with a Mac.
    • Home: Click to return to the PropertyHost Home window
  • Connect: Opens the prompt to launch the PropertyBoss database
    • Note: The PropertyHost user must also be created in the PropertyBoss database before they can connect.
  • Logoff: Click to log out and end the PropertyHost session



User Login Attempts

Forgets Password

If a user forgets their password they will become locked out after six failed attempts. The login screen will display the following message:


"Your account is currently locked from too many failed login attempts. 

You will be able to try again 1 hour from the last failed login."


Reset Options:

  • An administrator can login, select the "locked" user which is highlighted in red, then click Unlock.
  • An administrator can also use Set Password which will prompt the user to create a new password when they login.
  • Email care@propertyboss.com and support can unlock the user.


Uses Unapproved Method to Launch PropertyHost

If a user tries to login with an unapproved method, they will block their network (internet) connection to the PropertyBoss servers. This occurs after three failed attempts. If other PropertyBoss users are on the same network, their access will also be blocked. 


If a user sees the following screen and messages, it might mean the IP address is blocked:



Suspicious login attempts are defined as any method other than the approved method for gaining access to PropertyBoss. All users must log in to PropertyBoss through the PropertyHost website - https://propertyhost.propertyboss.net/PropertyHost - using their correct username and password. 
  1. Once on this page, enter your username. This is your company prefix and your username. Click Send.  
    1. Example: pbs_jsmith
  2. Enter your password. Click Send. 
  3. Click the green Connect button. 
  4. PropertyBoss will launch. 

To avoid IP blocks users should always log in through https://propertyhost.propertyboss.net/PropertyHost and refrain from using any shortcuts, previous downloads, or other workarounds.


Reset Options:



Connecting the First Time

  • Click the Connect icon to open the PropertyHost Profile window
    • If the Always ask before opening this type of file checkbox appears, uncheck the box then click Open or Run. (This option may vary with the browser being used.) 
  • The PropertyHost window will open and launch the default domain.
    • If given access to multiple domains and one was not assigned as the default domain, a window listing the available domain will open.
  • Select the appropriate domain and click OK.
  • To switch domains while in PropertyBoss, click File > Open a different database.



To Exit PropertyBoss and PropertyHost

Click Exit to close PropertyBoss. A prompt will display with the following options:

  • Reconnect: Allows user to immediately log back in 
  • Exit: Closes ProeprtyBoss 
  • Minimize to Tray: Use to reconnect at a later time. A PropertyHost icon will be added to the Icon Tray. To reopen, just double-click the icon.



The PropertyHost window may still be open in the browser. Click Logoff to disconnect the session.

  • Note: Once logged into the PropertyBoss database, the PropertyHost browser window can be closed. It is not necessary and will have no effect on the use of the PropertyBoss.
