General Terms

Multifamily
Refers to apartment complexes or other properties owned by the management company.
Residential
Refers to single-family homes, usually owned by individuals and managed by the property management company.
Student Housing
Housing designated for students, often with specialized lease structures.
Tenant / Member / Resident
An individual who leases or occupies a unit. Member is specifically used for HOA management.
Owner
The individual or entity that owns a property managed within PropertyBoss.
Vendor
A company or individual providing goods or services (e.g., maintenance, utilities).
Portal
An online interface (Resident, Owner, or Payment) that allows access to information or submission of data.
E-Payment Account
An account set up to process electronic payments, such as rent or fees.
Vantage
Third-party payment processor integrated with PropertyBoss.
Western Reporting
Third-party provider of applicant credit and background checks, integrated with PropertyBoss.
EFT Not Sent
Indicates an electronic funds transfer (EFT) has not been successfully processed or transmitted.
Auto-Post
A process to post multiple transactions in one step to multiple leases.
Web Activity
Electronic data submitted via a web portal or mobile app.
PropertyBoss Today
The initial welcome screen in PropertyBoss showing important tasks and management data for the day.
Accounting
Accrual Basis Accounting
Method where income is recorded when earned and expenses are recorded when incurred.
Accounting File
Represents the financial records for a company or entity requiring separate reports.
Bills Paid by Tenants
Charges billed directly to tenants that are paid by them instead of the property manager.
Chart of Accounts
The list of accounts used in the PropertyBoss database to categorize financial transactions.
Cash Basis Accounting
Method where income is recorded when received and expenses are recorded when paid.
Deposit Types
Categories that define the purpose of a deposit (e.g., security, pet, cleaning).
EFT (Electronic Funds Transfer)
Electronic transfer of funds between accounts.
FRED (Financial Responsibility Ends Date)
The date a tenant is no longer financially responsible for a lease.
GMP / LTL / LTV
Gross Market Potential, Loss to Lease, and Loss to Vacancy—metrics for evaluating property performance.
Go-Live Date
The date when real-time data entry (transactions) begins in PropertyBoss.
Management Fees
Portion of rental income retained by the property manager.
NACHA
National Automated Clearing House Association—sets the rules and standards for electronic payments in the U.S.
PB Remote
Interface that sends PropertyBoss data to QuickBooks.
Transaction Set
A group of transactions mapped to a specific chart of accounts.
Unapplied Reimbursements
Funds received but not yet applied to a specific charge or account.
Unearned Revenue
In cash accounting, a pass-through account for payments received before they are earned.
